A leading Engineering Consultancy is looking for an outstanding Assistant Group Coordinator to provide administrative support for a 6-month contract. You will be assisting the core teams, playing a gate keeping role and be vital in ensuring the efficient and successful operation of those teams. This is a brilliant opportunity for an experienced administrator looking to further their career and work in a dynamic project team.

Responsibilities:

  • Preparing bid materials and bids, often with a short turnaround for the group
  • Assisting with gathering information for the group accounts including monitoring the group costs and assisting with management accounts
  • Researching and developing information for presentations and reports
  • Managing the team's involvement in and compliance with company policies
  • Organising and attending group meetings, including following-up action points
  • Managing the allocation of IT hardware and software
  • Ensuring that the IT requirements of the group are notified to IT Support
  • Assisting with resource planning
  • Managing business travel arrangements for the team
  • Maintaining an informed position on team diaries including taking messages and managing interfaces with external and internal contacts
  • Maintaining the group's intranet site
  • Understanding and managing the filing and archiving system
  • General administration duties including; faxing, photocopying and scanning documents
  • Maintaining departmental listings
  • Managing the typing and formatting of correspondence and documents prepared by engineering staff
  • Distributing all documents and correspondence within the group including the collation, sorting and distribution of departmental post including dispatching all documents by the most expedient and cost effective means
  • Assisting group coordinators with overflow of work
  • Completing any occasional filing
  • Completing any ad-hoc administration tasks
  • Carrying out all duties with due regard to the Diversity Policy

Essential Experience:

  • Excellent computer and IT skills including; Word, Excel, PowerPoint and experience of using spreadsheets
  • Good communication skills
  • The ability to manage time efficiently
  • Strong problem-solving skills and a can-do attitude
  • You will be a confident, proactive self-starter
