Senior Executive Assistant

This is a very exciting 6-month temporary opportunity to support 2 Senior Directors across events and internal programmes! 

  • Managing complex international travel in a timely manner in order to protect the travel budget (for flight, hotel, trains - local and international, car bookings, and complex visas)
  • Always taking into account travel preferences, fully managing on the ground itineraries and meetings with multiple internal and external stakeholders
  • Handling last-minute travel changes swiftly and efficiently - both prior to and during trips, whilst trying to keep within the fare caps, and ensuring that Directors revised schedule does not impact the business and they are able to meet with key stakeholders and attend the highest priority meetings
  • Managing expenses and acting as a delegate, approving expenses on behalf of Director’s Direct Reports, ensuring all business expenditure is submitted in a timely manner, complying with company policy, and returning as needed
  • Reviewing reports with team members and other ABPs to give guidance as needed
  • Being the main point of contact for Facilities and Channel Sales and Direct Scaled Acquisitions, managing team spaces and huddles, desk moves, assistance with space planning for new joiners
  • Managing comms and logistics in relation to RTO for Channel Sales and Direct Scaled Acquisitions
  • Maintaining budgets, cost analysis, attending briefing meetings, maintaining attendees lists and sending detailed comms to attendees,
  • Sourcing venues and negotiating on costing
  • Approving and completing contracts, and raising POs for payment,
  • Coordinating further scheduling with ABPs and working closely with internal and external stakeholders at a CEO level
  • Booking and managing speakers attendance at events, coordinating and scheduling meetings across EMEA  
  • Minimum of 5+ years of Executive Assistant experience 
  • Experience managing events or projects alongside complex Executive Assistant support 
  • A self-starter who can recognise where processes can be improved and takes initiative to improve them
  • Strong business judgment, professional etiquette, and organisational, analytical, and problem-solving skills
  • Experience supporting executives that work globally
  • Strong communication skills
  • Ability to multi-task, and work efficiently in a high-paced environment 
  • Hybrid working - 3 days in the office and 2 from home
