This is an incredible permanent opportunity to work for a global leader in technology investment! This role is for an administrative professional to provide support to a number of investment professionals.

THE ROLE:
  • Managing busy calendars, assisting with time management, ensuring calendars are adhered to
  • Ensuring the strategic scheduling and prioritisation of calendars 
  • Answering, screening, directing, and responding as appropriate to incoming calls and correspondence
  • Scheduling external and internal meetings, greeting and directing guests, coordinating any needed video conference and/or conference calls 
  • Liaising with both internal and external assistants to coordinate meetings and schedules,
  • Complete monthly corporate, out-of-pocket, and mileage expense reports in a timely fashion
  • Maintaining the professionals’ personal records, travel records (including international travel and visa requirements, if applicable), and reward programs
  • Ensuring that all professionals are prepared for all internal and external meetings 
  • Maintaining accurate and up-to-date contacts
  • Managing internal files and maintaining the confidentiality and organisation of file contents
  • Providing backup support to reception and other administrative professionals as needed
  • Completing other project work as needed
ESSENTIALS:
  • 2 - 3 years within financial and professional services 
  • Flexibility in hours
  • High level of proficiency in Microsoft Office 
  • Excellent organisational and project management skills
  • Attention to detail with a high degree of accuracy
  • Strong interpersonal and communication skills, with the ability to build relationships with a wide variety of individuals
  • Experience working with international time zones /comfort working across global offices
  • Ability to juggle multiple tasks and professionals and changing priorities in an effective and timely manner
