The Legal Administrative Assistant collaborates and works within a team environment to provide general administrative support for Attorneys across practice groups and administrative teams within the firm. They will provide a wide range of administrative, clerical, and document services to support the workflow and client service needs of attorneys and other timekeepers. 
  • Providing designated and “as needed” administrative services to assist in delivering exemplary service. 
  • Making conference room reservations.  Coordinating meals, multimedia, and other services as requested.
  • Coordinating travel arrangements through the Firm’s travel department as requested.
  • Preparing expense reimbursements, payment of invoices, and check requests as needed. 
  • Performing general word processing, including creating and editing forms, and correspondence, ensuring accuracy and completeness.
  • Assisting with the billing process, including editing prebills, generating reports, and sending out final invoices. 
  • Assisting with creating and maintaining client/matter lists and communication lists.
  • Scheduling appointments and calendar dates.  Maintains contacts in Outlook. 
  • Assisting with timenote entry, including inputting timenotes, editing, proofreading, and closing them on a daily basis. 

  • CILEx qualified or equivalent with some administrative experience. This is a great opportunity to develop your career within a top law firm.
  • Proficient in Windows-based software including MS Word, PowerPoint, Excel, Outlook and Mac Pac.  Working knowledge of database and time and attendance tracking applications would be desirable.
  • Strong communication skills; ability to communicate effectively with all levels in an organization and build effective internal and external client relationships. 
  • High level of accuracy and attention to detail. 
  • Strong team player skills and ability to work collaboratively with diverse individuals at all levels of an organization to achieve results. 
  • Reliability, dependability, and strong motivation to respond to requests quickly.
  • Ability to multi-task, prioritize work, and meet deadlines.
  • Typing speed of 45wpm+ with high level of accuracy.
  • Flexibility regarding work schedule and availability to work overtime as required.
