A boutique commercial law firm specialising in the creative industries is seeking an experienced Executive Assistant to support two partners and four associates. The ideal candidate will have at least five years’ experience in a legal EA, PA or secretary role, with exceptional organisation, accuracy and professionalism. The ideal candidate will have at least five years’ experience in a legal EA, PA or secretary role, with exceptional organisation, accuracy and professionalism. EXECUTIVE ASSISTANT ROLE:
- Providing EA support to a range of solicitors, including two partners and six associates, managing administrative tasks, new client setup, diary management, meeting arrangements (in-person and Zoom), DocuSign coordination, client communications, internal reporting and third-party correspondence on behalf of the firm
- Supporting other EAs within the team as required
- Managing billing processes, including raising billing guides and invoices (with disbursements) and maintaining financial spreadsheets; experience with litigation billing desirable but not essential
- Inputting and tracking key deadlines relevant to partners and departmental priorities
- Undertaking occasional digital dictation tasks
- Amending, formatting and comparing legal documents to ensure accuracy and consistency
- Carrying out copy typing and document preparation tasks
- Managing digital filing systems and time recording (with training provided)
- Preparing and submitting expense claims accurately and promptly
- Supporting marketing administration, including creating LinkedIn and website posts
- Overseeing general office administration, including managing firm subscriptions, stationery and computer hardware, handling post and liaising with contractors
- 5 years of experience as an Executive Assistant
- Minimum 2 years working within the legal sector
- Working on a hybrid basis following completion of the probationary period
- Receiving 25 days of annual leave, increasing with length of service
