TEAM ASSISTANT
An exciting opportunity has arisen for an experienced Team Assistant to provide dedicated support to senior leaders within a fast-paced and high-performing corporate environment. This role is ideal for a highly organised professional who excels at managing competing priorities, coordinating complex schedules, and delivering exceptional support to executive stakeholders. TEAM ASSISTANT ROLE:
  • Providing support to a group of six Managing Directors across London and Frankfurt, while delivering back-up coverage to other Managing Directors in London and Warsaw
  • Providing administrative support to the wider teams of the Managing Directors as required
  • Maintaining complex and highly detailed calendars, prioritising meeting requests, and coordinating logistics for senior-level internal and external meetings both in person and via Zoom
  • Coordinating a high volume of domestic and international travel arrangements and completing expense reports accurately within tight deadlines
  • Handling phone calls and interacting professionally and effectively with senior business leaders
  • Responding to and following up on requests from vendors and external bodies, including organising meetings
  • Maintaining an understanding of firm policies and procedures
  • Onboarding new hires and processing employee e-tasks, transfers and termination requirements
  • Participating in general administrative duties, ad hoc projects and group events while working alongside three other Administrative Assistants
  • Providing on-floor support as required, liaising with facilities and security teams
TEAM ASSISTANT ESSENTIALS:
  • Minimum 3-4 years of busy Team Assistant experience
  • Holding a BA or BSc degree, preferred but not essential
  • Showing strong proficiency in MS Word, Excel, PowerPoint and Outlook
  • Applying strong organisational skills with a high level of attention to detail and consistently producing high-quality work
  • Taking a proactive approach to anticipating and solving problems quickly and efficiently to meet deadlines
  • Demonstrating excellent interpersonal and communication skills
  • Maintaining a strong understanding of general business, corporate and government cultures
